  • Overview

    Role Purpose:

    To provide administrative support across operations, transport and logistics and management to ensure to smooth flow and operation of all Daniels Health services.


    Key Responsibilities


    Measures of Performance



    §  Performs, leads and delegates the following responsibilities to ensure plant performance targets are achieved with an engaged and high performing team

      • Manages the schedule and accuracy of daily orders and the creation of order manifests for production scheduled delivery [metrics: 2-days targets]
      • Creates and ensures all  driver manifest for customer route and transport folder with all relevant certificates, regulatory documents, customer information included are accurate and completed on time.
      • Performs updates on required data changes with manifest post-delivery with updates on quantities delivered and/or not picked up as well as mileage used daily.
      • Ensures completion of all regulatory and customer processes are completed on time.
      • Confirms and analysis data validity through normal review or spot audits regarding weight/scale tickets manually to ensure proper billing accuracy.
      • Provides updated billing data to Supply Chain and Transportation through our route optics system.
      • Track driver performance (to provide updates to customers where running late etc.)

    §  Daily review of transportation information (vendors, GPS reports on stops, times, miles, and non-compliance issues) with Plant Manager and leadership team to take action to create operational efficiencies to improve service or reduce costs

    §  Perform all necessary support functions with staff to include accurate payroll and timekeeping, vacation approvals, new hire paperwork, regulatory compliance paperwork, and assist in the coordination of applicable training programs

    §  Coordinate internal communication forums for field-based and office-based plant employees

    §  Management of specific projects as directed by the Plant Manager or Senior Managers

    §  Assist in maintaining a “team” relationship between Operations and other departments

    • High quality customer service
      • 100% first point of customer contact for scheduling picks ups, customer issues, problems or complaints
      • Proactive communication with customers if drivers are running late, have an issue accessing the site etc.
      • Translate customer changes with production (physical communication on production floor)
      • Coordinate appropriate customer delivery as per customers details in route optics and the driver routes for the day/week


    • Exceptions Report relevant to file hold documents
      • If unable to meet expectations they need to communicate with plant manager or production that the route cannot be closed out
    • Inventory Report
    • Mileage reports (to cross reference with invoices)
    • Employee ‘time report’ (enter hours of work for production and/or transport)
    • Report on labour hire hours completed
    • Safety reports completed; Loss time injuries, incidents, hazards


    • Contribute to operational efficiencies in order to reduce costs 



    • Demonstrate can follow existing processes
      • Assist with improving processes and creating operational efficiencies
    • Compile and monitor production & Transport operational metrics
    • Department support, document handling and training
    • Affective plant support; interdepartmental
    • Timely completion in line with site and customer requirements



    • Oversee and maintain the regulatory compliance, plant operations manual, and administration for the site
    • Maintain and update inventory, database systems, customer information, and performance KPI spreadsheets in the business systems or plant metrics
    • Assist Leadership team with driver compliance, EG: DOT licences updated, CSA compliant, drivers licence updated and accurately update the hours of service in a system called RAIR


    • Lead a or multiple administrators to ensure all procedures are efficiently completed
    • Train, motivate and develop staff
      • Monitor and track key performance
    • Support the identity and leader of process improvement initiatives as assigned


    • High School Diploma or equivalent (GED)
    • Good with computer systems
    • Solid work references and good attendance history
    • Good communication skills both written and verbal
    • Ability to work in a team environment
    • Ability to work weekends, holidays or flex hours as needed by production demands
